JOB DESCRIPTION
Under general supervision, the Human Resources Assistant performs a variety of responsible and complex technical and administrative duties relating to human resource functions and programs including in the areas of employment recruitment, workers compensation, benefits administration, classification and compensation, employee relations, payroll processing, and liability claims; provides information and assistance to JCA Inc. dba McDonald’s of Saipan employees and the general public regarding human resources activities, processes, policies, and procedures; prepares various correspondence and memoranda; coordinates activities related to area of assignment; and performs a variety of tasks requiring specialized knowledge related to area of assignment.
Daily job duties and responsibilities of a Human Resources Assistant:
- Answer employee questions
- Process incoming mail
- Create and distribute documents
- Provide customer service to organization’s employees
- Serve as a point of contact with benefit vendors/administrators
- Maintain computer system by updating and entering data
- Set appointments and arrange meetings
- Maintain calendars of HR management team
- Compile reports and spreadsheets and prepare spreadsheets
- May assist HR Director in addressing customer complaints
HR assistants are involved in a number of areas of human resources, including:
Recruitment/New Hire Process
- Participate in recruitment efforts
- Post job ads and organize resumes and job applications
- Schedule job interviews and assist in interview process
- Collect employment and tax information
- Ensure background and reference checks are completed
- Preparing new employee files
- Oversee the completion of compensation and benefit documentation
- Orient new employees to the organization
- Help conduct benefit enrollment process
- Administer new employment assessments
- Assist to serve as a point person for all new employee questions
Payroll and Benefits Administration
- Input payroll hours, which includes ensuring vacation and sick time are tracked in the system
- Assist HR Director in answering payroll questions
- Assist HR Director in facilitating resolutions to any payroll errors
Record Maintenance
- Maintain current HR files and databases
- Update and maintain employee benefits, employment status, and similar records
- Maintain records related to grievances, performance reviews, and disciplinary actions
- Perform file audits to ensure that all required employee documentation is collected and maintained
- Assist HR Director in performing payroll/benefit-related reconciliations
- Assist HR Director in performing payroll and benefits audits and recommending any correction action
- Complete termination paperwork and assist with exit interviews
Training and Development
- Assist HR Director in conducting performance development plans and employee development programs
- Assist HR Director in providing Human Resources workshops ex. Crew meetings, Human Resources-related trainings, etc.
Legal Matters
